NDMHA is seeking vendor/suppliers to provide apparel on and off ice apparel to our teams, players, and membership for the 2022-2023 season and beyond.  We will be accepting proposal/quotes for review and analysis from qualified vendors/suppliers.

We are seeking vendor/suppliers to provide apparel to all levels of our hockey programming and to our members.  Vendor/Suppliers should review the proposal requirements and the evaluation criteria in preparation of submitting a proposal/request.

This Request will open on January 17th and close on February 18th at 5:00 p.m.

North Durham Minor Hockey Association

Provision of Apparel

 

Purpose:

NDMHA offers recreational, representative, and developmental hockey programs to the children and youth of North Durham.  We have approximately 1000 member players and up to 70 teams in each season.

NDMHA is seeking vendor/suppliers to provide apparel on and off ice apparel to our teams, players, and membership for the 2022-2023 season and beyond.  We will be accepting proposal/quotes for review and analysis from qualified vendors/suppliers.

We are seeking vendor/suppliers to provide apparel to all levels of our hockey programming and to our members.  Vendor/Suppliers should review the proposal requirements and the evaluation criteria in preparation of submitting a proposal/request.

This Request will open on January 17th and close on February 18th at 5:00 p.m.

Apparel Requirements

 

NDMHA is looking to secure a vendor/supplier to provide apparel in the following categories:

 

On-Ice related apparel:

 

Representative

Game Jersey’s Home, Away and Pant Shell

Game socks – Home and away

Practice Jerseys and socks

Hockey Bags

Recreational and MD/Select

Game Jersey’s with Sponsor logo

Single set colour matched socks

NDMHA has proprietary use of our Logos.  Use of the logo in preparation of submissions can be made upon request.

 

Packages and Branded Apparel

Representative teams and Select/MD teams will be provided packages set by the association.  Teams may, upon request add apparel items per unit with board approval

To support your submission our typical off ice team apparel package would include:

·        Warm up track suit – jacket and pants

·        Warm up T and shorts

·        Hat (toque or ball cap)

·        Team Jacket (Winter)

Basic On-ice package would include:

·        Game Jerseys and socks (home and away)

·        Pant Shell

·        Gear Bag

Examples of individual branded apparel:

·        Hoodies

·        Jackets (fall, winter, coaching)

·        Hats

·        T-shirts, gold shirts, game jerseys

 

 

 

 

 

 

Submission Requirements

Vendor/Suppliers must submit a proposal/quote containing the following:

 

1.     Letter of Introduction – Background on company, experience, and related examples of work

 

2.     Pricing List – Based on On-ice, Off-ice packages, and individual apparel.  We require a package cost as well as individual unit costs on all items

 

3.     Proposed apparel – we will be interested in apparel concepts that would further enhance the NDMHA brand

 

4.     Physical Examples – we will expect examples of the products being proposed and the correlation to the Price List provided.  These examples do not need to be ND branded but we will make our logo available upon request.

 

5.     Value Added. Descriptions of how your company will provide value, such as:

·        Stock availability and delivery time commitments

·        Access – online store, physical store, ordering capabilities

·        Access to quality apparel brands

·        Flexibility and availability for team fittings

·        Ability to address repairs and replacement in season and on an individual basis

·        Ability to create in collaboration with NDMHA new apparel items on an as needed and requested basis

 

 

6.     Individual Apparel creating Revenue/Cost Savings for Members:

 

NDMHA is a Non-Profit entity and is always seeking methods to generate revenue to off-set the cost of hockey and enhance our programming.  We would suggest interested Vendors/Suppliers propose how they would support the Association’s financial well being, or the cost related to hockey for our members through being our approved vendor/supplier.

 

7.     Interview

The Board reserves the right to require the Vendor to provide a representative to meet with the board to answer questions that pertain to their submission.

8.     References:

Please submit 3 references from clients/customers where you have provided a similar scope of business.  The Board reserves the right to contact these references as a part of our evaluation process

 

Evaluation/Review Process

NDMHA is committed to a transparent and diligent review process.  The following will be the process that is followed and the rating system for prospective vendors/suppliers:

·        Review of documents requested and submitted on time

·        Review of apparel examples provided

·        Interview with prospective vendor/suppliers

·        Reference checks on short listed vendor/suppliers

·        Evaluation Rating System

For successful and unsuccessful Vendor/Suppliers rating results will be shared with individual Vendor/Suppliers in a confidential manner.

The Apparel/Equipment Committee will provide the recommended Vendor/Supplier to Board of Directors for approval.

 

Terms of Contract for Successful Vendor

·        The awarding of our contract will be announced to the successful vendor/supplier within 30 days of the closing of the RFP/Q.

·        We are seeking a 3-year contract term.

·        Terms of the contract will be determined by NDMHA

·        NDMHA reserves the right to award the contract to multiple Vendors/Suppliers based on the interest of the Association and the 3 categories of apparel we seek.  Conditions and terms of the contract will be specifically laid out in this case.
